Term : Fixed Term Employment for 2 years based in Hetauda Field Office

Effectively coordinate sponsorship communication and related systems & processes.

  • Ensure effective implementation of Data Privacy Policy that all soft and hard copy sponsorship communication documents are securely stored to avoid any unauthorized access or misuse of sensitive information
  • Complete AO level green sheet with proper caseload management every year
  • Manage and supervise the smooth flow of sponsorship communication in order to comply with quality, quantity and set timeline.
  • Monitor and ensure all the documents are received at AO(s) one month in advance to facilitate smooth processing of the documents and enhancing quality.
  • Manage timely availability of sponsorship documents, especially SCI and SCU, in ChildData to meet monthly KPIs
  • Response NOIs with quality information 
  • Send SC death notification report promptly upon receipt of such information to the concerned NOs and make sure that the cancellation is processed within a month, with the replacement as appropriate.
  • Ensure timely and accurate response of NOIs as per business rule in coordinating with NGO staff
  • Facilitate and effectively coordinate visits of sponsors and NO guests in accordance with visit protocols.
  • Make use of BI online system to monitor the progress and achievement on Sponsorship commitments
  • Sponsorship KPIs are met as per standards. (6-10)
  • Ensure effective management of day to day operation of Sponsorship department based in partner NGOs) professionally.
  • Implement CO/RH/GH level decisions, priorities and updates related with Sponsorship business at field level
  • Ensure effective implementation of guideline on Dual Enrolment management and train NGO staff/volunteers and community groups to ensure that there are not any dual enrolment cases in the district


Ensure implementation & alignment of Sponsorship activities to organisational plans and approaches.

  • Ensure all the AO teams including volunteers and partners are aware and educated on Sponsorship commitments and standards KPIs are met (1-5)
  • Ensure the alignment of all sponsorship interventions to child centred community development approach and Country Strategy.
  • Ensure active participation of children and community members in producing annual/periodic documents like Sponsorship Program Area Report (SPAR) to bring in children’s perspective 
  • Establish, implement and monitor accountability quality standards for achievement of sponsorship goals 
  • Facilitate the process of phase in /phase over as per organizational strategy and procedures as appropriate
  • Develop strategies to mainstream child rights and child participation in sponsorship communication activities to align to global campaigns like UBR, LWF and BIAAG.
  • Ensure proper annual planning, budgeting, implementing, monitoring and liquidating of Sponsorship  activities


Enhance staff, partner and community capacity in managing sponsorship communications

  • Strengthen the capacity of staff, volunteers, community groups and youth organizations in managing sponsorship
  • Organize training / refresher and orientation to all the concern staff within the organization and in partner NGOs at least twice in a year. 
  • Ensure sponsorship communication training to NGO staff, volunteers and members of community groups at least 3 months in advance of SCI/SCU production at municipality level 
  • Support, monitor and guide partners to ensure active participation of sponsored children, families and their community in sponsorship management  of implementing Community managed sponsorship 
  • Organize meeting and discussion in dealing with the updates and sharing issues.
  • Provide guidance and support lead  to Plan's and partner staff for effective management of sponsorship business at AO level


Provide effective support to AO, CO and partner NGOs

  • Support in partner selection, need identification, strategy development and activity planning for Area Office(s) area as required.
  • Provide necessary support to AOs in annual planning /budgeting and all AO team activities.
  • Take challenges and responsibilities whenever needed both at AO and CO
  • Provide in AOs and feedback at CO level decisions and strategies
  • Support CO in conducting CO-AO peer review or Control Framework Audits (CFA) periodically.
  • Work closely with CO, in managing the sponsorship business at CO level.
  • Timely submission of monthly sponsorship reports and quarterly reports with quality to CO. 
  • Ensure capacity building of NGOs managing child sponsorship to strengthen systems and procedures for effective management of sponsorship functions as per business rule. 


Ensure Plan International’s CPP and GEI policies

Ensures that Plan International’s global policies for Child Protection (CPP) and Gender Equality and Inclusion (GEI) are fully embedded in accordance with the principles and requirements of the policy including relevant Implementation Standards and Guidelines as applicable to their area of responsibility. This includes, but is not limited to, ensuring staff and associates are aware of and understand their responsibilities under these policies and Plan International’s Code of Conduct (CoC), their relevance to their area of work, and that concerns are reported and managed in accordance with the appropriate procedures.


Qualifications, Knowledge and Experience

  • Bachelor’s Degree in relevant education
  • At least 2-3 years’ of demonstrated experience.
  • Desired professional qualification in the relevant job domain.
  • Proven experience in coordination, liaison and networking managing teams, finance and other critical management domains.
  • INGO work experience preferred
